Website Requirements Template

Capture the essentials so estimates, proposals, and builds stay aligned with real priorities.

Guide

Vague briefs produce vague estimates. This template helps you document goals, users, must-have features, integrations, and constraints so agencies (including CodeActivv) can respond with comparable, honest scopes.

Separate must-haves from nice-to-haves before you ask for pricing. Link examples of sites you like — and note why — so teams interpret inspiration correctly instead of copying aesthetics that fight your conversion goals.

You do not need every detail perfect. Capture open questions and assumptions explicitly; that honesty improves proposal quality more than pretending certainty.

Project snapshot

Give vendors enough context to understand the business, not just a feature list.

  • Working title and business context
  • Primary goal and success metrics
  • Target launch window
  • Stakeholders and decision owner

Users & requirements

Describe who uses the site and what must work on day one.

  • Primary user types and their tasks
  • Must-have features for launch
  • Nice-to-have features for later
  • Integrations (CRM, payments, booking, analytics)
  • Content sources and who writes/reviews copy

Constraints

Surface limits early so proposals stay realistic.

  • Brand/design constraints
  • Technical constraints (CMS, hosting, compliance)
  • Budget band (ranges are fine)
  • Open questions and assumptions

Examples

Agency RFP alignment

A retailer shared this filled template with three agencies and received proposals with comparable scopes — making price differences easier to interpret.

Internal build kickoff

An in-house team used the template to align product and marketing before sprint zero, reducing mid-build feature debates.

Integration clarity

Listing CRM and booking integrations upfront revealed a missing API access path early, avoiding a mid-project blocker.

Common mistakes

  • Mixing must-haves and nice-to-haves into one undifferentiated list
  • Omitting decision owners so approvals stall
  • Providing inspiration links without explaining what you like about them
  • Hiding budget ranges that force unrealistic proposals
  • Leaving content ownership blank until “later”

Practical tips

  • Separate must-haves from nice-to-haves to protect timeline.
  • Link examples of sites you like — and note why.
  • Share this template with agencies to get comparable proposals.

FAQs

  • Is this enough to get an estimate?

It is a strong start. Complex products may still need a short discovery, but vendors can give directional ranges and ask sharper questions.

  • Should we include wireframes?

Optional. User journeys and priorities matter more at this stage than polished mockups.

  • What budget range should we share?

Share a realistic band even if approximate. It helps teams propose phased options instead of padded or mismatched scopes.

  • Can we reuse this for apps?

Yes, with adjustments for platforms, accounts, and operational workflows. The structure still holds.

  • Will CodeActivv respond to this template?

Yes. Send a filled draft and we will return a clear scoped conversation starter.
